AI for answering customers and building a chatbot

Updated on 25 October 2026. By aidock.

To answer customers with AI, start by having it prepare drafts from your own content, which an employee then approves. For a chatbot on your website, choose a tool that answers only from your information and hands over to a person. Since 2 August 2026, it must say clearly that it is an AI.

How to choose

Answers based on your content

The tool must rely on your FAQ, terms of sale and product pages, and say when it does not know.

Handover to a person

Check that a complex request or a complaint is passed to an employee with the conversation history.

Channels covered

Depending on your customers, the need may be on your website, instant messaging, email or online reviews.

Transparency and GDPR

The chatbot must say that it is an AI (Article 50 of the AI Act) and the provider must offer a data processing agreement.

Step by step

  1. Gather your reference answers: FAQ, terms of sale, delivery times, returns policy.
  2. Test AI in draft mode first: it suggests a reply, an employee approves or corrects it.
  3. If you launch a chatbot, say in the very first message that it is an AI and offer a way to reach a person.
  4. Every week, reread a sample of conversations to fix wrong answers and complete your content.

Common mistakes

  • Letting a chatbot invent a refund policy or a delivery time that does not exist.
  • Letting customers believe they are talking to a person, when Article 50 of the AI Act requires you to say it is an AI.
  • Answering a sensitive complaint automatically without a person looking at it.

Frequently asked questions

Does a chatbot have to say that it is an AI?

Yes. Since 2 August 2026, Article 50 of the AI Act has required a chatbot to tell people that they are talking to an AI. Show it clearly from the first message and offer a way to reach a person.

Can I reply to customer reviews with AI?

Yes, to save time on wording. Personalise each reply with a detail from the review and do not let the tool promise a goodwill gesture without approval. Reread replies to negative reviews carefully before publishing.

Which customer data can I give a chatbot?

Only what it needs to answer, in line with the GDPR principle of data minimisation. Check where the provider hosts the conversations and sign a data processing agreement if it processes them for you. Mention this processing in your privacy policy.
